Overview

The Risk Register area allows the users to view, search and filter all risk assessments so that you can view all risk details and progress in a quick and easy way.

Four separate registers are available for four types of risks; Strategic, Operational, Project and Corporate and an additional register for Risk Control (please see article Risk Management – Risk Control Register). Hover over the 'Risk Management’ menu in the top navigation to access the Risk Registers.

Note: Risk Registers can be directly accessed from your home page left-hand navigation panel too. 

Based on which Risk Register you have selected, the relevant risk register screen will display the risks along with the fields specified below for each Risk type:

  • Strategic Risk Register – Code, Responsible Officer, Reporting Period, Next Review Date, and the Initial, Current and Future Rating and the status.
  • Operational Risk Register – Code, Responsible Officer, Directorate, Responsibility Centre, Reporting Period, Next Review Date, and the Initial, Current and Future Rating and the status.
  • Project Risk Register – Code, Responsible Officer, Business Unit, Risk register, Reporting Period, Next Review Date, and the Initial, Current and Future Rating and the status.
  • Corporate Risk Register – Code, Responsible Officer, Reporting Period, Next Review Date, and the Initial, Current and Future Rating and the status.
  • Risk Control Register – Control Title, Description, Control Owner and Control Rating. See article Risk Management – Risk Control Register for more details on this register.

The columns and filters in each register can be configured to match your preferences from the Register Configurations area. 

Note: If your organisation wishes to hide any register (Strategic, Operational, Project, or Corporate) in the Risk Register area, please contact Camms Support on support@cammsgroup.com to make this request.


Group and Filter/Search Records

All fields can be grouped, except for fields which contain images (e.g. risk action summary, risk appetite).

  • To group, drag and drop  field column headers into the header section.
  • To ungroup, click the field grouped by in the header section, and drag it out.


Sorting by Monte-Carlo projection values

When a register is grouped by Monte-Carlo projection values (P10, P50, and P90), the default sort order will be in descending order. Risk records will be displayed starting with the highest cost impact.

Note: 
To view Monte-Carlo project values in the registers as columns, this needs to be configured under Camms.Risk > Framework > Risk Settings > Register Configuration > [enable visibility of the projection type fields].

Dragging and dropping a projection type column header to the top of the table, above the column headers, will sort the risk records in a descending order of projection value, of the grouped projection type. 

  • More than one projection type can be dragged and dropped to sort risk records.
  • If the risk register is grouped by multiple projection types, the descending sort order will apply only to the parent projection type.
    Note: The descending sort order applies per risk register page.

In order to filter and search for risk records, click on the 'Filter' button at the top of the window. 

These filters below will apply for all risk registers.

You can add more filters if needed via Menu > Framework > Risk Settings > Register Configuration > [Register Type dropdown].

You can select to show only active or only inactive risks by ticking/unticking the 'active', 'inactive' tick boxes. Only active risks are displayed by default.

You can sort records by Risk code, Risk Title and Responsible Person in any order you require. Simultaneously, you can specify the alphabetical order as A-Z or Z-A.

Specify the number of records you want to see in one page by selecting a number from 'Number of risks per page' dropdown.


Enter the filter criteria and click the 'Search' button to filter Risk Control details. Click the 'Clear' button to clear any entered filter criteria.

Ticking the 'Save as default' checkbox option at the bottom of the filter window, will save the current filter criteria as the default criteria for the logged in user.


Excel Export

You can export records in the Risk Register using the Excel icon at the top-right hand corner.

  • STEP 1:Click on the Excel icon on the right hand side of the screen.
  • STEP 2: Click ‘Open’ to open the spreadsheet or ‘Save’ to save the spreadsheet to your workstation.

Only the visible data in the relevant Risk Register tab is exported – if this does not meet your requirements or you require additional details in your export, please contact your system administrator as they will have access to an advanced export function via the Risk Settings area.


Add New Risk

If you have the required permissions, you will be able to create new risks by clicking the 'New' button at the top-right corner of a Risk Register. The new risk template will then appear for you to fill in the details, specific to the risk register that you are within.

Note: Alternatively, the 'Add New' button in the left-hand navigation panel can be used to add a risk type directly too.

Strategic Risk Register

Strategic Risks are those risks at an enterprise level. Quite commonly, these risks may threaten the achievement of an organisation’s longer term strategic goals and objectives and are often the responsibility of Senior/Executive Management to monitor and report on.

The Strategic Risk Register will display all the strategic risks in the organisation.

The following risk details will be displayed in columns by default.

Primary Responsible officer of the risk.

Initial Risk

Initial assessment rating is displayed here as image and text. Camms default image should be displayed if the Risk administrator has not included a custom image via Risk Settings area.

Current Risk

Current assessment rating is displayed here as image and text. Camms default image should be displayed if Risk administrator has not included a custom image via Risk Settings area. Instances where Current assessment is not initiated then rating will be display as N/A.

Future Risk

Future assessment rating is displayed here as image and text. Camms default image should be displayed if Risk administrator has not included a custom image via Risk Settings area. Instances where current assessment is not initiated then rating will display as N/A.

Links

A link summary in the risk registers will show the number of links a risk contains with a pop up within the register to preview the links.

The following filters will be available by default to filter and search risks.

Initial Risk Ratings

Lists all rating types defined in the Framework> Risk Settings. Selecting a rating type would display only the risks that have the selected rating as its initial risk rating. Defaults to 'Show all'.
Current Risk Ratings

Lists all rating types defined in the Framework> Risk Settings. Selecting a rating type would display only the risks that have the selected rating as its current risk rating. Defaults to 'Show all'.

Future Risk RatingsLists all rating types defined in the Framework> Risk Settings. Selecting a rating type would display only the risks that have the selected rating as its Future risk rating. Defaults to 'Show all'.

Primary/ Secondary Responsible Officer

Lists all staff in the system. Selecting a staff member would display only the risks that is assigned to the particular staff member (primary or secondary). Defaults to 'Show all'.
Risk Category

Lists all Risk categories available. Selecting a category would display all risks that belongs to the particular category (primary or secondary category). Defaults to 'Show all'.

Risk Assessment level

Lists the assessment levels: Initial, Current and Future. Selecting an assessment level would display all risks that are currently in the selected level.

Performance Indicators

Performance indicators will display in the Risk Registers to show a summary of how risk actions are performing for each risk, and will indicate if an action is 'On track', 'Off Track' or 'Monitor' status. See article Risk Actions under section 'Risk Action Performance Indicators for more details on this.

To configure the performance indicators to be displayed in the risk register see section 'Displaying Performance Indicators for Risk Treatment Actions' under article Risk Settings – Field Configurations.

  • Risk action count column – This column will display a summary of how all linked risk actions are performing for each risk register type.
    • This will display the summary count of risk actions for each performance category that are linked with a risk. The circles will be colour coded based on the performance value they represent. If there are no risk actions for a performance category, it will not be shown.
    • This column cannot be used to group the Risk Registers by dragging the column to the top of the table.
  • Filter by performance category  Risks can be filtered based on the linked actions’ performance indicators. 
    • This will be a multi select dropdown listing options of Off Track/On Track/Monitor and N/A. When the end user selects one or more option from here, risks with linked actions of the selected performance categories will be filtered and shown.
  • Colour codes – The below standard performance categories will be introduced:
    • On Track (green) – Indicates that the % completion of the risk action is on track.
    • Monitor (amber) – Indicates that the % completion of the risk action requires close monitoring to get the risk action back on-track.
    • Off Track (red) – Indicates that the % completion of the action is off track.
    • N/A (grey) – Indicates that the performance of the action cannot be calculated.
  • Performance thresholds values The threshold values can be configured via Administration > Configuration > Action Progress Threshold, to determine the thresholds for each performance category for the risk action. By default, the below values will be set, which can be changed if required.
    • On Track: >= 90
    • Off Track: < 70
    • Monitor: Less than 90 and greater than or equal to 70


Operational Risk Register

Operational Risks are those risks which affect the organisation at the Business Unit level.

The Operational Risk Register will display all operational risks in the organisation.

The following risk details will be displayed in the columns as default.

Lists all Business Units in the system. Selecting a Business Unit will display all risks that are linked to the particular Business Unit. Defaults to 'Show all'.

Service Profile

Lists all Service Profiles in the system. Selecting a Service Profile will display all risks that are linked to the particular Service Profile. Defaults to 'Show all'.

Project Risk Register

Project Risks are those that are directly linked to and impact a specific project.

Project Risk Register will display all project risks in the organisation.

When creating a project risk assessment, you must select a project/action which the risk directly links to. Therefore there is an extra step that is needed to be taken when creating project risks, compared to the other risk registers. Once you have clicked on the new icon to create a new project risk, a window will pop up allowing you to firstly search for your project by using the Business Unit, Service Profile, and/or Responsible Person fields. From those filters, the Project drop down will reduce to show the projects that have been inputted from your Administration area.

Note: For organisations that do not have Camms.Strategy integration, the projects are created and filtered through this section under the Administration section of the Navigation Menu. Please refer to the Administration > Projects section for more information on creating projects if you don’t use our Camms.Strategy software.

For those who use Camms.Strategy, the actions/projects will come directly from your business planning area.

Once a project has been selected, the fields will display for you to create a new project risk. Fill out the Risk title and Responsible person and then click on the 'Add' button.

Once you have added your risks, close the window by clicking on the close icon. From here you will be taken back to the Project Risk Register, where you should now see your risks that you have just entered against your project. Click on the title (hyperlinked) to enter the risk assessment details and complete the initial risk assessment.

The following risk details will be displayed in the columns of the Project Risk Register:

Project/ Action

The Project that the risk is linked to.


Filters

The following filters will be available to filter and search project risks. Highest risk ratings and average risk rating will be displayed at the top based on the search criteria.

Initial Risk Ratings

Project/ Action

Lists all active actions added through your administration area (for standalone) or from interplan. Selecting a project will display all risks that are under the particular project. Defaults to 'Show all'.

This filter will only be available for the Project risk register.

New Review Date

*Date filter which allows to you pick a date to filter all risks with that particular Next Review Date. The Next Review Date is updated based on the frequency and the last review date.

Default will show all regardless of the date.

Risk Category

Lists all Risk categories available. Selecting a category will display all risks that belongs to the particular category (primary or secondary category). Defaults to 'Show all'.

Risk Assessment levelLists the assessment levels; Initial, Current and Future. Selecting an assessment level will display all risks that are currently in the selected level.

Directorate

Lists all directorates in the system. Selecting a directorate will display all risks that are linked to the particular directorate which is linked to the projects Business Unit. Defaults to 'Show all'.

This filter would only be available for the Operational and Project risk register.

Business Unit

Lists all Business Units in the system. Selecting a Business Unit will display all risks that are linked to the particular project linked to that Business Unit. Defaults to 'Show all'.

This filter will only be available for the Operational and Project risk register.

Service Profile

Lists all Service Profiles in the system. Selecting a Service Profile will display all risks that are linked to the particular Service Profile that is linked to the project. Defaults to 'Show all'.

This filter will only be available for Operational and Project risk registers.

Quick Settings

The 'Custom View' button at the top-right corner of the window, will open a Quick Settings popup window and will let you customise the layout of the Project Risk register as per your individual preference and save the setting to apply in your profile in the future as well.

This setting will let you customise the order and visibility (show / hide) of fields in the Project Risk Register grid. Click on 'Save' to save the layout once updated.

  • Fields listed in the 'Quick Settings' popup window will be based on the following criteria:
    • Project risk fields configured as 'visible' under Risk Settings > Register Configuration > Project Risk Register.
      Note: Project risk fields configured as 'visible' and mandatory (un-editable) under Risk Settings > Register Configuration > Project Risk Register, will be 'visible' by default. You will not be able to hide these fields.
    • Project risk fields configured as NOT 'visible' but ONLY 'searchable' under Risk Settings > Register Configuration > Project Risk Register, will be listed in this popup to be selected and made visible.
  • To change the order of fields, 
    • Click on the checkbox(es) under the 'Ordering' column and click on the 'top', 'up', 'down', 'bottom' buttons to move the field(s) right to the top, one field up, one field down and right to the bottom respectively OR
    • Drag and drop the field to the position you wish using the three dots on the right hand side of the field.

  • To change the visibility of fields use the checkboxes under the 'Visible' column next to the fields. This will show / hide fields in the register.

  • Click on the 'Restore Default' button to restore the default layout of the Project Risk Register that has been configured via the Risk Settings > Register Configuration > Project Risk Register page. Once the default layout is restored, all layout changes done on Risk Settings > Register Configuration > Project Risk Register will apply thereon.
    Notes:
    • To know if the saved register layout is default, check if the 'Restore Default' button is inactive (in grey). If the the saved register layout is one that has been customised, the 'Restore Default' button will be active (in blue).
    • If you customise the layout, at some point, back to the default layout, the 'Restore Default' button will be inactive (in grey) and the system will consider the default layout restored. Hence, when an administrator updates the layout via the Register Configuration page, it will reflect here too.
  • Once you are happy with the layout, click on the 'Save' button at the bottom of the popup window. The saved layout will remain thereon; even after the page refreshes and for future log ins by that individual.


Critical Path Delays

To capture the critical path delays for each project risk, and display a total aggregate delay for each project within the register view:

  • Configure the critical path delay field via Camms.Risk > Framework > Risk Settings > Field Configuration > Project Risk > Inherent/Revised/Future tabs. See article Risk Settings – Field Configuration under section 'Critical Path Delays for Project Risks'.
  • Once configured, Critical Path Delay details will be listed in the Project Risk Register columns.
  • To view assessment wise aggregated values for each project, click on the summary icon next to the project title.


Corporate Risk Register

Corporate Risks are those risks at a corporate level. 

The Corporate Risk Register will display all the corporate risks in the organisation.

The following risk details will be displayed in columns by default.
