Executive Intelligence System (Overview)

The Executive Intelligence System provides the management with a ‘Snapshot view’ of the organisational performance during a particular time period and a selected hierarchy level. This is achieved through the provision of high level executive charts and summary data that integrate with your organisation’s planning and performance management framework and organisational structure.

EIS provides holistic information across planning and performance and risk including exception reporting to facilitate informed management decision making. Only users with EIS privileges will be able to view this area.

You can access the EIS page using methods described below:

  • Method 1: If you have set EIS page as your cammsstrategy home page, you will be directed to this page when clicking homepage icon in header panel.
  • Method 2: Use side bar to access EIS area.
  • Method 3: Navigate through the main menu. Go to Workspace > Executive Intelligence, or 'EIS' option in quick access side menu.

Security

EIS is only accessible to Administrators, Directors and Business Unit Managers.  For other users, the Administrator must provide access by allocating a special security role of 'Executive Intelligence'.

The default information displayed in EIS defaults to a level of the organisation most relevant to user. For example, if you are the Business Unit Manager of a particular unit, you will find that the data that are filtered down to your business unit’s level automatically.

Overview Tab

The Overview tab summarises performance information across actions, performance indicators, budgets and risks for a particular period and hierarchy level.

According to default settings, it shows data for the current year and last closed period* (this is shown within the period view) and the organisation level which you are linked. However, you can make a selection by using the reporting year dropdown lists at the top of the page and the hierarchy tree control available on the left side of the panel.

It also triggers you alerts for items that are off track based on your personalised thresholds.

Three performance donut charts and a line chart are shown at the top for a ‘bird’s eye’ view of your Action, KPI, Budget and Risk performance respectively.


1. Action Performance: This donut graph will give you the performance of all actions within the particular hierarchy node and filtered date period. The performance is calculated based on the period targets and YTD actual.

2. KPI Performance: This donut graph will give you all KPIs linked to a particular hierarchy level.

Currently, KPIs with no target set (nothing saved at all against targets/actuals tab) will not be displayed in EIS.
Performance will be based on the period view target and actual. Note: KPIs are all setup differently and calculation methods, periods and aggregation will impact KPI results.
For example (few different types of KPIs):

  • Annual KPIs will only show at the end of the reporting year.
  • KPIs which have an aggregation of cumulative/average will show a cumulative/average result accordingly.
  • See KPIs section for more information on how different KPIs are calculated as per the way they have been setup.

3. Budget Summary: This graph will show the Budget vs Actual of all the actions linked at a particular hierarchy node, against the period view.

The Budget graph can be configured to display either income, expenditure, or both budget types. Refer following 'Alert Setting' section for further information. 

4. Risk Summary:  This graph will show the risks which are linked to a given hierarchy node. This area will be available only if you are using Risk Management, along with SYCLE.

When you click on a coloured section of the donut chart, you would be able to see a detailed grid with the list of Actions/KPIs/budget/Risks contributed to the performance indicated by that colour.


Alerts Settings

This interface can be used to configure the visualisations of both action performance and KPI performance donut charts.

Action donut chart can be filtered for default filter options using the filtrations listed in 'Configure Action Summary Chart'. Selected filter options will be displayed beneath the chart itself. EIS administrator can configure budget summary chart in a way that, end user see either cumulative/period figures. Moreover, he/she can also selects the type of budget, either both income and expenditure, income only or expenditure only to be displayed within the chart. 

Action Thresholds

Traffic light indicators will display the following based on the configurations within cammsstrategy® via Settings > Progress Calculation area.

  • On Track –
  • Monitor –
  • Off Track –

 Action Progress Traffic Light Indicator will be blank (unlit) in the following instances;

  • Ongoing Actions where the action progress values are unspecified in the system by default.
  • Actions for which Target values have not been set within Action > Progress tab.

Traffic lights will be based on the period performance - action YTD actuals against the period target.

Thresholds are set within the Admin area and can be changed to suit organizational requirements by the Administrator. See Action Progress Threshold area for more information.

The default threshold is:

  • On Track (>=) 90
  • Off track (<) 70
  • Monitor (<90 and >= 70) (based on the on track and off track numbers). Less than 90 and greater than or equal to 70.

System Alerts

You can see the customisable system alerts for Actions, KPIs and Budgets that require your attention in collapsible grids. You can customise your thresholds for when you want to be alerted for Actions, Budgets and KPIs via 'My Settings > EIS Settings' area.

  • Action Exception – can define the exception value for action, in order to trigger the alert when the action progress is less than the given value.
  • Budget Exception Percentage – can define the exception value for expenditure/budget of the action, in order to trigger the alert when the YTD expenditure is equal to the given value or more than the YTD budget. You may enter the threshold value as a %. Please contact your Administrator for more information.
  • KPI Exception – can define the exception value for KPI, to trigger the alert when the performance is less than the given value. 

Alerts can be viewed from 'View Performance Alerts' popup window.

EIS Controls

EIS provides a set of controls on every page which gives you the ability to analyse information from different perspectives.

Period View Control

The Period View Control lets you view performance information for different time frames. The two options available are 'Year To Date' and 'Period'.

  • The period view can only be selected within the KPI and Scorecard areas. This means that you can view performance information for a specific time frame using the date controls.
  • Selecting the YTD (Year to Date) option will enable you to view information for a specific time frame within the selected reporting period.

  

The Year to Date period starts in the month of July and stops in the month of June in the immediate next calendar year.

For example, if you select ‘March’ in the month drop-down list and select the reporting period as 09/10 in the reporting period drop-down list then information from 01st of July 2009 to 31st March 2010 will be displayed.

Hierarchy Tree Structure

The Hierarchy Tree Structure on the left allows you to filter information based on a selected level of either the planning/organisation/custom hierarchy trees.

Custom Hierarchies can also be selected to view information linked here if you have this functionality. See Custom Hierarchies for more information.

EIS will always display Action, KPI, Scorecards, Budget and Risks performance at the level of logged in user and  linked within the system by default. However, this can be changed by navigating through the hierarchy tree.
  • STEP 1: Click on the relevant tab to dock a particular hierarchy structure. 
  • STEP 2: Click on the down arrow sign to further expand a level.
  • STEP 3: Click on the level you want to view information for.

You can see what level of the tree you are currently viewing performance for at the top of the screen and also use this area to go back up the hierarchy.

Filter

The filter icon enables you to conduct a search on the records available under the relevant tab, using the set of filters given.

Grouping and Sorting

You can drag and drop column headers to the Group By area in order to group information by a certain category. 

Exporting to Excel

Using   icon, you can extract the information in an excel sheet. This function is available in the tabs to export the relevant data in excel format.

EIS Action Tab

The 'Actions' tab shows performance of all the actions in the given hierarchy level in relation to action progress and linked budgets. You can easily identify the current status of actions based on traffic lights indicators and also view the latest progress comments.  

All the information would globally be filtered out as per the selection of hierarchy tree filter together with period filter.

  • STEP 1: To view actions, click the 'Actions' tab.
    Actions on this page are ordered by action ID.

The following fields are available within action grid by default:

Note: Traffic light indicator will be red for actions that have not yet started and for actions where start date has been passed. This is due to the fact that system considers them as ‘Off Track’.

Budget

Displays the budget performance (please refer the article Administration - Configuration section on Budget Threshold for further information).

Email

Displays the email control

Comments

Progress comments for each action can be viewed by clicking the  icon

  • STEP 2: Click on the filter icon to filter any actions you are specifically looking for.  Below filters are available to ease the search.

  • Select the 'Hide Completed' checkbox to hide the completed actions from the search list. However, if you have selected 'completed' in filter option 'Status', refrain from ticking this checkbox. If you wish to save the filter options you selected to be used next time as well, you can tick the 'Save as default' checkbox. You can use the 'Clear Filters' button to clear the filter selections.
  • You can search or group Actions to analyze information more easily.
  • For example, to view Actions by a Responsible person, drag the responsible person field to the “group by” area. You can also group by multiple column headers, for example you can group by business unit first then responsible person.
  • To filter any off-track items, type off track in the Search box.
  • STEP 3: To view the latest progress comments, click on the comment icon for a particular action.

  • STEP 4: To find out more detailed information in relation to an action, click the Action hyperlink. A new window will be opened, and the EIS page remains open.
    You have the option of exporting the data to an Excel sheet by clicking on the 'Excel Export' icon.

EIS Budget Tab

The Budget tab displays income and expenditure information and allows drill down to the account level. Your System Administrator can rename and change the order of the columns shown on this page.

To view budget information, click the 'Budget' tab.

You can view information for any level of any hierarchy and drill down to the individual account level by clicking on a hyperlink within each level. All financial accounts are linked at the action level which determines what level of the organisational and planning hierarchy it sits within.

You have the option of exporting the data to an Excel sheet by clicking on the 'Excel Export' icon.

Note: Number of decimal places to be shown can be configured from the ‘Limit Decimal Places in Budget’ setting.

EIS KPIs Tab

The KPI tab provides a graphical snapshot of performance indicators and recent trend patterns of the KPI under the selected hierarchy level. You can easily identify which KPIs are off track based on the traffic lights.

Performance indicators are shown based on what level of the planning or organizational hierarchy the indicators were linked to. The drag and drop functionality to group KPIs is available in the tab.

  • STEP 1: To view KPIs, click the 'KPIs' tab.
    • KPIs on this page are ordered by KPI Title. The information shown on the left are the targets and actuals for the relevant time-frame listed in the Period drop-down list. You can use this to view information for a specific time period.
    • Select the period view using the given drop-down lists.
    • YTD values – displays the cumulated KPI values from the beginning of the financial year to the date that the KPI is being viewed.
    • Period values – displays the KPI value for the last closed period nearest to the date that the KPIs is being viewed.

 

KPIs will only show data within the period that is selected. If the KPIs reporting "period" is not in line with the month selected (for example an Annual KPI has been linked but you are viewing the 'December' period) then that KPI will not be shown until you view for the June period (end of the financial year).

Monthly KPIs will always display the target/Actuals for the selected period. Annual KPIs will only be shown in June at the end of the period. Quarterly KPIs will only show in the period view at the end of the period.

When using the period, ensure that the date range selected exceeds or is equal to one month.

Displays the KPI Trend (scroll down for more information on KPI Trend calculation).

Email

Displays the email control.

Click to view the chart.

  • STEP 2: Click on the filter icon to expand the filter area. You can use the filter options given below to look up for the relevant KPIs.

You can tick the 'Hide Inactive' and 'Hide Archived' checkboxes to exclude the inactive and archived KPIs. If you wish to save the filter options you selected, to be used next time as well, you can tick the 'Save as default' checkbox. You can use the 'Clear Filters' button to clear the filter selections.

You can drag and drop a column header to the area shown below the period view selection in order to group the KPI by that particular column header.

  • STEP 3: Click on the graph icon on a specific KPI record to view the graph.

Please refer KPI Graph page for further explanation on the new functionalities.

  • STEP 4: You can use the email icon to send an email about the relevant KPI.
  • STEP 5: To find out more detailed information in relation to a KPI, click the KPI hyperlink. This will open in a new window so the EIS page remains open.

You have the option of exporting the data to an Excel sheet by clicking on the 'Excel Export' icon.

 

Business Rules for Trend arrow display

Trends are calculated by comparing the targets and actuals from the current period and the targets and actuals to the previous period. The actual is compared as a percentage (performance) of the target. 

For example:

Month 1:

  • Target = 30
  • Actual = 15
  • Performance = 50%

Month 2:

  • Target = 20
  • Actual= 11
  • Performance = 55%

Depending on calculation methods and aggregation method the system will calculate KPI performance as a percentage of KPI target. Then current period YTD and previous period YTD are compared and a trend is shown.


Trend arrow display for Trend KPIs – The above criteria is applicable for all KPIs with the exception of Trend KPIs. For Trend KPIs, there is no Performance to compare because there is no Target to calculate Performance with. Thus, for Trend KPIs, the Trend arrow is determined by comparing the current period ACTUAL with previous period ACTUAL only.

EIS Scorecards Tab

Scorecards are shown based on what level of the planning or organizational hierarchy the scorecards were linked to using the drag and drop functionality in the Scorecard Linking area.

  • STEP 1: To view the scorecards, click the 'Scorecards' tab.

Select the period view using the drop-down lists given. However, it displays the calculations for year to date and for a defined period at the same time.

Scorecards on this page are ordered by the Scorecard Title. Scorecard title functions as a hyperlink to the scorecard drill down. 

If a scorecard has sub scorecards, then the sub scorecard will be displayed as a hyperlink within the linked Items grid. Selecting the sub scorecard hyperlink will allow you to drill down and view all KPIs linked to that scorecard. 

  • STEP 2: Click on the filter icon to expand the filter area and search for the relevant scorecard. You can select the status of the scorecard performance from the drop-down list. Select the Save as default tick box if you wish to use the same filter option next time. 
  • STEP 3: Send an email about the specific scorecard using the email icon if necessary.

You have the option of exporting the data to an Excel sheet by clicking on the icon.


EIS Risks Tab

EIS Risks tab would display all risks linked to the given hierarchy level. This area will be available only if you are using Integrated Risk Manager, along with Camms.Strategy®.

Clicking on a risk would take you to the page that contains details of the selected risk.

For each risk type, the following data is displayed by default:

The type of the risk; i.e. Strategic, operational or project

The primary responsible person of the risk

The latest assessment stage of the risk. This could be initial, revised or future.

Initial Rating

The initial assessment rating is displayed here (CAMMS default image should be displayed if IRM administrator has not included an custom image via Risk Settings area)

Revised Rating

Revised assessment rating is displayed here (CAMMS default image should be displayed if IRM administrator has not included a custom image via Risk Settings area).  Instances where revised assessment is not initiated then rating will be displayed as N/A

Future Rating

Future assessment rating is displayed here (CAMMS default image should be displayed if IRM administrator has not included a custom image via Risk Settings area).  Instances where Future assessment is not initiated then rating will be displayed as N/A

Next Review Date

Next review date indicated in the Risk Review screen will be displayed here. The overdue indicator is displayed next to the date if the risk is overdue.

Email

Displays the email control


Following filters are available to search and filter your risks:

Risk Title

Text box that allows you to type in the Risk title and search for the Risk. This is a keyword search and therefore, by entering a part of the title you will be able to filter out all risks that contain the typed characters anywhere in the title.

Risk Code

Text box that allows you to type in the risk code and search for the Risk. This is a keyword search and therefore, by entering a part of the code you will be able to filter out all risks that contain the typed characters anywhere in the code.

Current Assessment Level

Lists the assessment levels; Initial, revised and future. Selecting an assessment level would display all risks that are currently in the selected level.

Primary/Secondary Responsible Officer

Lists all staff in the system. Selecting a staff member would display only the risks that is assigned to the particular staff member (Primary or secondary responsible officer). The default action is “Show all”.

Risk Category

Lists all Risk categories available. Selecting a category would display all risks that belongs to the particular category (primary or secondary category). The default action is “Show all”.

Risk Type

Lists all risk types; strategic, operational and project.  Selecting a Risk type would display only risks that are of the selected type. The default action is “Show all”.

Search and Clear Filters buttons are available within the area. Ticking “Save as Default” option will save the current search criteria as default.

You can expand the risk to see a detailed view that lists down all risk actions and KPIs linked to the risk.

Risk owner comment & Management Comment would be available if you have ‘Custom Control’ tab activated within Administration > Settings > System Settings. Please contact CAMMS Helpdesk to have this feature enabled for your environment.
